THREE FOOTBALL PITCHES OF PAPER SAVED BY EASTLEIGH BOROUGH COUNCIL USING IDOX
Hampshire residents now receive a faster, more comprehensive response to revenue and benefit enquiries
Integration key to Eastleigh Borough Council's selection of IDOX as part of its long-term IT strategy
IDOX group (AIM:IDOX), the leading developer and supplier of software solutions and information services to local government, today announced the successful delivery and implementation of a contract to provide a fully integrated and scalable Electronic Document and Records Management System (EDRMS) to Eastleigh Borough Council (EBC).
Eastleigh required an EDRMS to improve the efficiency of its services by speeding up document retrieval and reducing the use of paper.
The project involved transferring the paper-based records of EBC's Revenues and Benefits Unit onto a customised IDOX workflow and storage system. Following the successful completion of the Revenues pilot in November 2008, the Benefits team will go-live in April this year. Once live, it will mark the first time that an IDOX system has been integrated fully with Academy Software - a core revenues and benefits back-office solution from Capita.
According to Loraine Radford, Head of Revenues and Benefits, EBC, the council is now delivering significantly improved services to residents.
Radford, who is also Chair of the Academy Southern User Group, said: 'It is already evident that efficiency has improved through the way in which we can now manage and prioritise our workload more effectively.
Staff have embraced the system and morale has noticeably improved since we started using IDOX.'
The IDOX system has already demonstrated a rapid return on investment, with council staff now able to access and edit documents almost instantly online, compared with the delays of the old paper-based regime.
EBC has scanned and transferred over 480,000 pages of information to the EDRMS, avoiding the drawbacks of hard-copy filing and saving the equivalent of over three large football pitches of paper.
Commenting on the implementation, Richard Kellett-Clarke, CEO, IDOX group said: 'We are pleased that EBC is now realising the benefits of the EDRMS through improved efficiency gains, and are rolling it out across other key departments within the council.'
Scalability was a key factor in EBC's decision to partner with IDOX to deliver a corporate-wide solution. Since implementation, work has already begun to expand the system into the Development Control and Human Resources Units.
Eastleigh Borough Council serves a population of 120,000 with approximately 51,000 properties and 3,000 businesses. The Borough is situated in central southern Hampshire and borders the eastern edge of Southampton City Council together with the District Authorities of Fareham, Test Valley and Winchester.
